Lenus eHealth ApS (“we”, “us”, “our”) (CVR no. 38 16 84 95) is responsible for the data collected about you, and we ensure that your personal data is processed in accordance with applicable data protection laws. 

We take your data protection seriously and we have therefore adopted this data policy in order to inform you on how we process your data.

Processing of personal data

Personal data is any kind of information that in one way or another can be attributed to you. If you do not want us to process any personal data, it can be problematic for us to deliver services to you.

Partners

If you are a professional fitness coach or nutritionist, you can become a partner with us. As a partner with Lenus, it is necessary that we collect certain personal data about you. This is necessary for us to process to be able to identify, communicate and administer our relationship with you. We will process the following:

  • Name, telephone number, address, e-mail, and payment information. 

We collect this information on the following legal basis:

  • Processing takes place on the legal basis of a performance of contract (licensing our software from us and entering into a co-op agreement with us). 

We retain the information for the period permitted by law and we delete it when it is no longer needed. The period depends on the nature of the information and the reason for the storage. Typically, information regarding our partners will be deleted after the termination of the co-operation agreement. 

We use Hotjar in order to better understand our users’ needs and to optimize the service and experience using our app. Hotjar is a technology service that helps us better understand our users’ experience (e.g. how much time they spend on which pages, which links they choose to click, what users do and don’t like, etc.) and this enables us to build and maintain our service with user feedback. Hotjar uses cookies and other technologies to collect data on our users’ behavior and their devices. This includes a device’s IP address (processed during your session and stored in a de-identified form), device screen size, device type (unique device identifiers), browser information, geographic location (country only), and the preferred language used to display our website. Hotjar stores this information on our behalf in a pseudonymized user profile. Hotjar is contractually forbidden to sell any of the data collected on our behalf.

Job applicants

We are always happy to hear from you regarding an interest in working with us! 

For you to be an employee with Lenus eHealth, it is however necessary for us to collect certain personal data about you. We need to process this data to be able to identify, communicate and administer our relationship with you:

  • Your name, address and contact details, including email address and telephone number;
  • Details of your qualifications, skills, experience and employment history; and
  • Information about your current level of remuneration.

We collect this information on the following legal basis:

  • Processing takes place on the legal basis of a performance of contract (employment).

Personal information that may emerge during the recruitment process will be processed on the processing basis of legitimate interests.

In the case of unsolicited applications, we store your application including any attachments for 6 months, after which they will be deleted.

The application with appendices is shared internally with relevant staff in the recruitment process. We may sometimes use an external recruitment actor, who will also have access to the application including any attachments.
We will save your application with attachments until we find the right candidate and the recruitment process is completed. After this, your application and attachments will be deleted.
If we would like to keep your application including any attachments for more than 6 months, we will contact you to get your consent to this.
Your consent is voluntary and you can withdraw it at any time by contacting us using the contact information above.

Users of our Lenus eHealth App

If you are currently enrolled in an online coaching programme with one of our partner coaches and nutritionists that use our Lenus eHealth app, your coach will be the data controller in charge of gathering and processing your data in compliance with data privacy rules. In this regard, we act as the data processor of your coach. 

In limited cases, we may however also process your personal data as an independent data controller. This will be the case:

  • if we send you a survey or otherwise ask for your feedback in relation to your participation in an online coaching programme with one of our partner coaches (by using SurveySparrow as our data processor).
  • when you visit the websites of our partner coaches we may collect cookies on you – for this processing please see our Cookie Notice at the end.

Additional information regarding the processing of personal data

Security

We have taken appropriate technical and organizational measures to prevent your information being accidentally or illegally deleted, published, lost, degraded or made known to unauthorized persons, misused or otherwise processed in violation of the law.
This includes among other things the encryption of data and limiting any access to personal information based on user ID’s and personal passwords. Moreover, a backup and recovery procedure has been established for data on our servers.

Data minimisation

We only collect, process and store the personal information that is necessary to fulfill our stated purpose. In addition, it may be determined by law what type of information is required to be collected and stored for our business operations. The type and scope of information we process may also be determined by the need to fulfill a contract or other legal obligation. 

We keep data up to point

As our service depends on your data being correct and up to date, we ask you to inform us of relevant changes to your data. You can use the contact information above to notify us of your changes, and we will make sure to update your personal data. If we become aware that data is incorrect, we will update the information and notify you. You may also update your data yourself using our online platform delivered by Lenus eHealth.

Disclosure of information

We use a number of third parties to store and process the information, including suppliers of IT solutions. These process information solely on our behalf and may not use it for their own purposes. 

We only use data processors in the EU or third countries that have the necessary security guarantees, as well as companies in countries that can provide your information with adequate protection. 

We work primarily with Stripe (for payment facilitation) but we also use Hotjar (to optimize our app) and SurveySparrow (for customer surveys), among others. With regards to our technical infrastructure we use Amazon Web Services, Heroku, Google Cloud, Sentry, Imgix, Docraptor and Coconut.

Your rights

You may exercise the following rights in your relation with us:‍‍

  • You have the right to be informed at any time regarding data that we process about you, including where it comes from and what we use it for. You can also be informed on how long we store your personal data and who receives data about you to the extent that we should pass on data in Denmark and abroad.
  • If you should request, we may inform you of the data we process about you. Access may, however, be restricted for the sake of privacy of other persons, confidentiality in relation to business secrets as well as obligations related to intellectual property rights.
  • If you believe that the personal data we process about you is inaccurate, you have the right to have it corrected, when it cannot be corrected by yourself. You must contact us and inform us of the inaccuracies and how they can be corrected. Please be precise about your correction otherwise it will complicate our work and may in some cases lead to us not being able to comply with your correction.
  • In some cases, we will have an obligation to delete your personal data. This applies, for example, if you withdraw any consent given. If you believe that your data is no longer necessary for the purpose for which we collected it, you may request that it be deleted. You can also contact us if you believe that your personal data is being processed in violation of the law or other legal obligations.
  • You have the opportunity to lodge a complaint with the relevant authority of your country (Datatilsynet in Denmark).
  • You have the right to object to our processing of your personal data. You may also object to our use of your data for marketing purposes. If your objection is justified, we will make sure to stop the processing of your personal data.
  • You have the option of using data portability, in case you want your information moved to another data controller or data processor.
  • We delete your personal data on our own initiative when it is no longer necessary for the purpose for which it was collected or when we no longer have a valid legal basis for storing it.

When you contact us with a request to have your personal data corrected or deleted, we will investigate whether the conditions are met, and if so, implement changes or delete it as soon as possible.
